We’re excited to introduce the latest round of features and enhancements across OpenApply, each designed to make your school admissions and marketing smoother, smarter, and more efficient. This month’s updates span AI analytics, CRM, finance, data management, and overall user experience — including enhancements to support schools in China as part of our ongoing commitment to building a truly inclusive and accessible platform.

Tag Management and Email Enhancements

Schools can now directly edit tag names on the Manage Tags page, reducing support requests and saving valuable time for staff. This update streamlines tag management and ensures your school’s terminology stays up to date. Additionally, email campaigns for contacts now support using “Tag” as a subscription or exclusion condition, just like for students. This means users can create more targeted, flexible campaigns, ensuring the communications reach the right audience every time.

Fee Management Updates

A new “Send Reminder to Parents” option is now available for both batch and individual invoice sending, making it easier to keep parents informed and track payments. Admins can also edit individual invoices before sending, allowing for flexible fee allocation and error reduction. This update gives schools greater control over their billing process and helps ensure parents receive accurate, timely information.

Data Import Improvements

When importing student data, OpenApply now prioritizes using the most relevant status date for greater accuracy. Graduation and withdrawal dates can only be edited if the corresponding status exists in the student's history, to prevent confusion. If edits aren’t possible, “N/A” is shown with a tooltip for clarity.

UI & UX Enhancements

The login page has received a UI uplift, including optimizations to the scrollbar, text alignment, and button styles. These changes make the login process more intuitive and visually consistent, improving the overall user experience.

CRM Enhancements

Source campaign assignment is now logged in activity records, giving schools better visibility into how leads and applicants are tracked. This update supports more effective auditing and helps ensure your CRM data is more insightful, accurate, and up to date.

AI Analyst for China

OpenApply’s AI Analytics now provides bilingual support in Chinese and English, enhancing accessibility for Chinese-speaking schools and expanding opportunities to leverage AI-driven insights. Complementing this, AI Analyst is live for schools in China, introducing advanced filtering and grouping by gender, grade, campus, nationality, and language.

These tools empower schools to analyze student data more quickly and precisely, answering targeted questions such as, “How many female students applied in 2023–2024?” This will enable more efficient, thoughtful decision-making through localized, multilingual AI capabilities.

Other Updates

Mail Merge Pronouns
OpenApply’s Mail Merge feature now supports capitalized pronouns (e.g., He/She/They), ensuring every automated email reflects your commitment to inclusive, personalized communication.

Pinned Activity
Schools can now pin the latest activity to an applicant’s profile, ensuring important updates are always front and center.

Invoice Editing
The student invoice edit feature has been optimized, allowing admins to edit invoices after it’s been generated, as long as the status remains “Outstanding.” After saving, the dashboard list now refreshes automatically, keeping your data up to date.
